Introduction:

We are seeking a highly organized and proactive Event Coordinator to support our Events Team. This role sits at the intersection of events, executive assistance, and operations, requiring a strategic mindset and meticulous attention to detail. You will manage the finer details of events and streamline processes in collaboration with the operations team.

This fully remote position requires the ability to travel as needed to ensure the successful execution of events.

Responsibilities:

Event Planning and Coordination:

Assist in the planning, organization, and execution of various events.

Coordinate event logistics, including venue selection, vendor management, and attendee registration.

Prepare event materials, agendas, and presentations.

Conduct research for locations, venues, and vendors based on demographic needs.

Develop and implement processes for a growing team.

Ensure process adherence across a globally distributed team.

Communication and Collaboration:

Serve as a liaison between the Events Team and wider Operations.

Communicate effectively within the team, with clients, vendors, and attendees.

Utilize Slack for team communication and ClickUp for project management.

Administrative Support:

Manage calendars, schedule meetings, and arrange travel for the events team.

Handle event-related inquiries and resolve any issues promptly.

Maintain and organize event documentation and records.

Continuously improve existing standardized processes by monitoring their performance.

Deadline Management:

Ensure all event-related tasks are completed on time and within budget.

Monitor and track event timelines, ensuring deadlines are met.

Exhibit exceptional attention to detail and time management skills.

Qualifications:

Bachelor’s degree in Event Management, Hospitality, Communications, or a related field.

2+ years of experience in event coordination or a similar role.

Proficiency in Slack, ClickUp, and Google platforms.

Exceptional organizational skills and attention to detail.

Strong verbal and written communication skills.

Ability to work independently and as part of a team.

Comfortable with remote work and willing to travel as required.

Demonstrated ability to manage multiple projects simultaneously and meet tight deadlines.

Compensation: $45,000 - $60,000 USD - Based on experience
