Recurrent Ventures' Military Events division is looking for an Events Coordinator for our Military & Defense team. This person should have knowledge and experience in events and digital media.

This role will take a proactive approach when it comes to communication, ensuring that the client has a strong understanding of every aspect of a media campaign.

The Events Coordinator will think dynamically and communicate effectively across different internal departments to ensure that deliverables are completed on time and client requests are addressed. Throughout the campaign, the Events Coordinator will be responsible for reporting on and optimizing all channels to hit and exceed client goals.

Responsibilities

• Act as the primary point of contact for our clients, partners, and collaborators before, during and after events. This includes oversight of printed materials like badges, agendas, signage and virtual content like quick polls and post-event summaries.

• Collaborate with the sales team to identify opportunities for expanding our client base through referrals and other channels.

• Support the sales team in the RFP process by facilitating brainstorm meetings, providing historical insights and best practices, and working with marketing to build decks and mockups.

• Conduct regular check-ins with clients to ensure ongoing satisfaction and to identify opportunities for further engagement.

• Prioritize and project manage sponsorship deliverables by coordinating with and delegating to internal departments.

• Assist in managing registration and help desk email requests, ensuring prompt responses and resolutions.

• Conduct sponsorship reviews, analysis, and optimization.

• Maintain accurate and up-to-date client records in company CRM (Boostr).

• Assist in the effective management of virtual and hybrid events, ensuring that technology and content delivery are seamless.

• Manage email communication for registered attendees for conferences, including the MIC gala, ensuring timely updates and information dissemination.

• Collaborate with the event and sales team to oversee and manage relationships with conference sponsors, exhibitors, and speakers.

• Management of communication for speakers for MIC and MSF to include providing confirmation emails, next steps and collecting collateral for their presentations.

• Liaise with the event manager on logistics around venue, catering, room block, and A/V requirements.

• Liaise with the AV team before and during events, guaranteeing all speaker technical requirements are fulfilled.

• Attend events ensuring compliance with travel requirements and coordinating personal travel arrangements as necessary.

Qualifications

• A Bachelor's Degree in Business, Marketing, or other related field is preferred; or at least two years of experience in corporate account management in lieu of a degree.

• Four to six years of experience in a client-facing role, preferably in media or with a media agency.

• Ability to analyze and interpret data, draw strategic recommendations, and present findings to clients.

• Excellent communication skills, both written and verbal.

• Strong relationship-building skills and the ability to develop trust with clients.

• Proven ability to manage multiple clients and projects simultaneously.

• Detail-oriented with strong organizational and time-management skills.

• Familiarity with CRM systems and other sales and marketing tools.

• Ability to work independently as well as collaboratively with cross-functional teams.
