Position: Executive Assistant
Location: Fully Remote (Work From Anywhere)
Salary: $4,000/month (USD)
Role Overview
As an Executive Assistant at MightyScout, you will play a vital role in ensuring operational efficiency and supporting the company’s growth.
Your responsibilities include process management, project oversight, financial coordination, and team support. If you excel in organization, communication, and process improvement, this role is perfect for you.
Key Responsibilities
• Operational Management:
Streamline and manage company processes, SOPs, and workflows.
Familiarity with tools like Notion, Gantt charts, and Kanban boards is advantageous.
• Project Coordination:
Assist in managing weekly team meetings, reviewing metrics, identifying issues, and ensuring projects stay on track.
• Financial Oversight:
Manage cash flow, budgets, payments, and invoices. Assist in financial forecasting and decision-making.
• Team Coordination:
Facilitate communication across departments, support teams in achieving goals, and ensure alignment with company values.
• Process Improvement:
Continuously seek ways to enhance operations and implement software solutions to improve efficiency.
• Documentation: Create and maintain guides, knowledge bases, and onboarding/offboarding processes, ensuring clear and accessible documentation.
• Team Support:
Mentor and coach team members, offering feedback and suggesting improvements to enhance performance.
• Vendor Management:
Evaluate and manage vendor relationships, ensuring top-quality tools and services.
• Email Management: Draft, respond to, and organize emails for the Founders, ensuring no communication is overlooked.
Candidate Profile
• Experience: Minimum of 2 years in a similar role, with experience in project management, operations, or executive support.
• Technical Skills: Proficient in Notion and Excel, with knowledge of advanced features and shortcuts.
• Organization: Exceptional organizational skills, with the ability to manage multiple tasks and projects simultaneously.
• Problem-Solving: Strong ability to identify issues, develop solutions, and implement changes effectively.
• Communication: Excellent written and verbal communication skills, with the ability to convey complex information clearly.
• Proactivity: Self-motivated and constantly seeking improvements.
• Leadership: Lead by example, take responsibility, and hold yourself and others accountable. Skilled in mentoring and coaching.
• Adaptability: Thrive in a fast-paced, remote environment and adapt to changing priorities.
