We are looking for a focused and self-motivated individual to join our team. You will have a background in financial and administrative processes, with good interpersonal skills (both written and verbal), and attention to detail.
Job Title: Finance and Administration Officer Location: Homeworking
Reporting to: Project Development Officer (PDO)
Salary: £25,000 per annum (£10,000 pro rata)
Contractual Status of Role: Fixed term 12 months (indicative); self-employed, part-time (0.4 FTE) 15 hours per week. This post is funded by the National Lottery Heritage Fund.
JOB DESCRIPTION
To support the successful operation of Leanchoil Trust and the Leanchoil Project by developing and maintaining appropriate financial and administrative systems.
Key Responsibilities
To maintain an accurate financial system and records for the operation of the Trust.
To maintain accurate financial records relating to grants (claims and payments) to support the completion of claims to the National Lottery Heritage Fund and other funding bodies.
To undertake general administration duties concerning the project.
Main Tasks - Finance
Contractor Payments
Pay contractors and consultants as authorised by the PDO and/or the Trust’s PCT.
Input all payments into the Trust’s accounting system under the supervision of the PDO properly recording gross, VAT, and net payments.
Maintain records of all payments due and made.
Answer queries related to such payments raised by the PDO and/or the PCT, Trust staff, Trustees, contractors, and funders.
Grant Claims
Contribute to the completion of drawdown claims to the National Lottery Heritage Fund and other funders authorised by the PDO, PCT, or the Trust’s Treasurer.
Ensure grant claims are completed promptly to minimise pressure on the Trust’s cash flow.
Maintain records of claims made and to be made.
Answer queries relating to grant claims.
General
Prepare financial reports on Trust accounts and grant funding for the Board of Trustees.
Contribute to the preparation of financial information for funding applications.
Administer gift aid and prepare the annual return to HMRC.
Assist with the monitoring and recording of fundraising income and expenditure.
Assist with the preparation and monitoring of operational and fundraising budgets.
Main Tasks -Administration
Update and maintain the membership register.
Maintain the Trust’s asset register.
Support the PDO to ensure LT’s policies and procedures are up to date and implemented.
Arrange meetings, events, and visits as required.
Contribute to Trust and Team meetings as required including preparation of papers.
Contribute any other duties as may be reasonably required.
PERSON SPECIFICATION
Experience
Essential:
High level of financial literacy, with book-keeping and financial administration experience.
Highly proficient in the use of MS Office systems.
Desirable:
Experience with the Xero accounting system.
Experience in administering gift aid and preparing associated HMRC returns. Knowledge
Essential:
Accounting and book-keeping knowledge Desirable
Understanding of GDPR Skills
Essential:
Excellent communication skills and a ‘can do’ approach.
Ability to develop and implement new administrative and financial processes.
Ability to understand and implement a range of policies and procedures.
Ability to self-manage a busy and diverse workload.
**Additional Requirements
Desirable:**
Experience in a similar role within a social enterprise or small business.
Experience working within the charity sector.
Experience in administration and reporting associated with grant funding.
A good team player willing to work in a small team.
Have a suitable home working space and furniture with a good broadband connection for home working.
Knowledge of the local area.
